Our Engagement Process for Not‑for‑Profit Accounting Support

A clear, considered process — designed to build confidence before commitment.

We work with growing not‑for‑profits navigating increased complexity, governance and accountability. Our engagement process is intentionally structured to be calm, transparent and respectful of your time.

If helpful, you can explore our end‑to‑end accounting services before taking the next step.

Step 1: Complete a short Initial Snapshot

Before booking a discovery call, we ask you to complete a brief, non‑invasive Initial Snapshot.

This helps us understand:

  • Your organisation and structure

  • Your current financial setup

  • What prompted you to reach out

By gathering this information upfront, we can prepare properly and ensure any conversation is relevant, informed and valuable — not generic.

Step 2: Discovery Call

Once we’ve reviewed your Initial Snapshot, we’ll invite you to book a discovery call.

This conversation is designed to:

  • Clarify your current challenges and priorities

  • Identify where your organisation may have outgrown existing arrangements

  • Discuss what level of support would create the most confidence

  • Confirm whether we’re the right fit for each other

If we don’t believe we can add genuine value, we’ll tell you honestly.

Step 3: Recommended support and fee proposal

If it looks like we can support your organisation, we’ll prepare a clear, tailored recommendation outlining:

  • The level of support best suited to your needs

  • The scope of services included

  • A fixed monthly fee aligned to your organisation

This is presented as a proposal — not a commitment — so you can review it carefully, ask questions and consider next steps with confidence.

Step 4: Onboarding and transition

Once engagement is confirmed, we guide you through a structured and supported onboarding process.

This typically includes:

  • Confirming responsibilities and timelines

  • Collecting required information and system access

  • Aligning with key stakeholders

  • Establishing reporting rhythms and communication

Our aim is a smooth, well‑managed transition — so support begins with clarity and confidence from day one.

Who we typically work with

To ensure alignment, we generally work with not‑for‑profits that:

  • Have annual turnover between $500k and $3m

  • Value partnership, clarity and accountability

  • Are seeking ongoing support rather than ad‑hoc assistance

  • Have outgrown volunteer‑led, part‑time or fragmented finance support

All services are delivered via monthly retainers, with clearly defined scope and no surprise billing.

When we may not be the right fit

Our services are designed for growing not‑for‑profits seeking ongoing, end‑to‑end financial support delivered through partnership. We may be less suited to organisations that are:

  • Seeking once‑a‑year tax or compliance‑only services

  • Looking for short‑term or ad‑hoc assistance rather than ongoing support

  • Primarily focused on lowest‑cost transactional services, rather than clarity, governance and confidence

  • Unwilling to adopt more structured, transparent financial processes over time

While some organisations come to us with paper‑based or manual records, we regularly assist with transitioning to more effective systems where there is openness to improvement and change.

If your organisation values clarity, accountability and a considered approach to financial support, there is often benefit in exploring whether we’re aligned.

The best way to decide

The easiest way to determine fit is through a short conversation.

No obligation. A considered first step toward financial confidence.
